Team Members

Invite teammates by email, choose their role, understand what they can access, and manage or remove members and pending invitations.

Team seats let your colleagues work in the same clients you do, with the same link maps, SEO tests, and Search Console data. They set nothing up themselves. You invite them by email, they accept, and they see your client list the next time they log in.

Where to find it

Click Account Settings in the dashboard sidebar, then open the Team Members tab. The Team Management card lists every current member and pending invitation, along with how many of your plan's seats are in use (for example, "2 of 5 seats used"). Seat counts depend on your plan. See the pricing page.

Roles

When you invite someone you pick one of three roles: Member (the default), Manager, or Owner. The role appears as a badge on their row in the Team Management list and is there to record how you organize your team.

Note: The role does not restrict what a teammate can do. Every accepted team member gets the same access to your clients. See "What teammates can access" below.

How to invite a team member

  1. Click Invite Member at the top of the Team Management card.
  2. Enter their Email Address.
  3. Choose a Role: Member, Manager, or Owner.
  4. Click Send Invite. They receive an email with a link that either signs them up or, if they already have a RankNest account, adds your agency to it.

The modal header shows how many seats you have remaining. Until the invite is accepted, it appears in the list as Invitation pending. Click the X on its row to cancel it.

Tip: If you'd rather set the account up yourself (say, for a teammate who won't check email), tick Create user directly (set password instead of sending invitation), enter a password, and click Create User. Share the password with them securely and have them change it after first login.

What teammates can access

  • Every client. Team access is all-or-nothing: a teammate sees your full client list. There are no per-client permissions.
  • Your connected data sources. Teammates inherit the agency's Google Search Console, Google Business Profile, and Analytics connections. They never re-authenticate with Google themselves. See Google Search Console.
  • Tasks. Tasks on a client are shared, so work assigned from a client overview is visible to the whole team.

Note: Because integrations belong to the agency, disconnecting Google Search Console (or another integration) removes that data for every teammate, not just you.

How to change a role or remove a member

  1. Find the member in the Team Management list.
  2. Click the menu at the end of their row.
  3. Choose Make Owner, Make Manager, or Make Member to change their role, or Remove to revoke their access.

Removing a member takes effect immediately. Their own RankNest account still exists. They just lose access to your agency's clients.

Tips

  • If Invite Member is disabled, you've used all your seats. A banner above the list explains the limit, with an Upgrade shortcut.

Troubleshooting

The invitation email never arrived. Ask the teammate to check spam, or cancel the pending invitation (the X on its row) and send it again. The Create user directly option is a reliable fallback.

Invite Member is grayed out. Your plan's seat limit is reached, or your plan doesn't include team seats. Compare plans on the pricing page, or free a seat by removing an inactive member.

A teammate can't see any clients after accepting. Have them log out and back in. If it persists, confirm their email in the member list matches the address they signed in with.
